COMMUNITY MANAGEMENT PROFESSIONALS

The Right Hand of the Board

COMMUNITY MANAGEMENT PROFESSIONALS provides professional community managers to direct association operations. It’s essential that you find qualified managers with whom you can work productively. A professional association manager will help the board preserve assets, maintain property values, establish continuity, and provide assistance with operational and financial matter.

The board sets policy and establishes a direction for the association, and the manager sees that the policies are implemented. Just a few of the ways professional managers assist boards include:

Accounting and Information Systems

With a full-time, in-house accounting team dedicated to your community and a fully computerized, state-of-the-art, customized software system, which produces clear, accurate and easy to understand financial statements, you can rest assured that your community’s accounting is accurate and precise. In addition to preparing monthly financial statements, our accounting team will prepare a detailed financial overview, evaluating your association’s fiscal position and offering recommendations.

Board Meeting Preparation and Attendance

Preparing a board of directors for their regularly scheduled board meetings and assisting the board during meetings is critical to effective community management. Well organized, detailed and clear board packages are essential to ensure the board of directors has the information they need to prepare for and hold a meeting.

Billing and Banking

To be the best it is essential to partner with the best. Billing and association banking is a service impacting the fiscal health of an association. At COMMUNITY MANAGEMENT PROFESSIONALS we have partnered with Mutual of Omaha, a trusted name in community association banking. Mutual of Omaha is one of the only banks in the United States with a department exclusively dedicated to working with community associations. By understanding the functionality of community associations and laws impacting associations, Mutual of Omaha is able to offer tailored services to our association partners. Offering a comprehensive association lockbox program where assessment payments are sent directly to Mutual of Omaha, processed the same day and downloaded to our management software in real time, our partnership with Mutual of Omaha provides superior accounting services that are more efficient and streamlined.

Vendor Procurement and Oversight

Assembling a strong network of talented and vetted vendors for our associations to select from mitigates many potential issues and is a critical component of a well managed community. In addition, our solid background in real estate maintenance and construction provides valuable insight to associations during the request for proposal (“RFP”) process.

After Hours Care

Our firm’s after-hour’s service, provided at no additional charge, ensures that someone is always available to tend to your community’s needs. In addition to handling emergencies, our after-hours customer care team immediately e-mails every caller’s message to the respective management team members, again exemplifying our commitment to servicing our clients, 24 hours a day, 7 days a week. In addition, board members always have direct access to their Community Manager via their private mobile phones, because during an emergency we feel it is important to be able to reach your community partner directly.

Annual Community Requirements

Laws dictating an association’s annual requirements are constantly changing, which is why it is so important to partner with a professional management company committed to continuing education. From annual budgets and tax filings to required reserve study updates and annual meetings, our team is here to guide our associations, coordinating annual meetings, distributing annual financial packages and filing the necessary documents.

Community Oversight

Weekly inspections and on-site monthly vendor evaluations are a key component to ensure proper community oversight. At COMMUNITY MANAGEMENT PROFESSIONALS every inspection performed is documented through the use of our software. Violations and common area deficiencies are not only documented in writing through this software, but also by digital photography, which can be shared regularly with the board of directors and organized in the community files. Community managers meet with each of the community’s contracted vendors on-site monthly to inspect their performance and ensure they are meeting the community’s expectations based on their contractual scope of services.

Education

Board Member education is critical to empower an association’s board to make wise decisions. At COMMUNITY MANAGEMENT PROFESSIONALS we offer complementary board member training, hosting quarterly training seminars covering a wide variety of topics from “Understanding Association Financial Statements” to “Legal Updates Impacting Your Association”.

Transition Team

Transitioning management companies is often one of the biggest concerns voiced by board members. At COMMUNITY MANAGEMENT PROFESSIONALS we have alleviated any concerns or anxiety you may have by developing a professional Transition Team dedicated to overseeing a seamless transition process for both board members and homeowners. Our firm’s Transition Timeline & Checklist ensures that every step of the transition is a smooth, worry-free process for board members and homeowners alike.

With only one chance to make a great first impression, our firm has created unique transition tools, including Homeowner Welcome Packages and Community Welcome Tours or events, highlighting our dedication to customer care and our commitment to ensuring a seamless transition.

Escrow Processing

Moving is a stressful time for both the seller, who we are bidding farewell, and the buyer, who we are welcoming as the newest member of the community. Utilizing HomeWise Docs, a state-of-art document and delivery system,we are proud to be a leader in escrow processing, including accuracy and turnaround time. In addition, our thorough and detailed escrow process preserves the association’s interest by ensuring that any and all assessments due are retained through the escrow process.
